Contract Extension

 

Step 1: Click Student Changes, Extensions and Departures Form link from the Manager Self-Service Home page (or Employee Self-Service for delegates) in Nucleus

Note: Ensure pop-ups from this site are allowed as the form opens on another window.

 

Step 2: Select the student for whom the changes need to be made by selecting the student’s row and clicking on the button Select Employee ( )

 

 

Step 3: Select Student Position Variation radio button

 

 

Step 4: Fill in the Contract Extension Section

New Contract Expiry Date: Enter student position end date. This is the end date of the enrolment in their course.

Course Extension Submitted to University: Select “Yes” if an extension to candidature/course has been submitted to the University. If extension has been approved attach confirmation of extension below.

Course Extended Past Student Enrolment End date: Select “Yes” to indicate if student position is being extended past course enrolment end date. This is for students who are staying on to complete their project after the course period or while PhD thesis is under examination. Student positions can be extended past course end date for 6 months in the first instance. Any further extensions will be subject to further review.

Thesis Submitted (PhD Student Only): For PhD students only select “Yes” if PhD thesis has been submitted. Please indicate thesis submission date in the comments section. Student contract can be extended for 6 months in the first instance during thesis examination period.

Other sections such as Contract Variations effective date, Position Details, Change of Classification/Salary and Change of Status should be filled in only if they are applicable.

 

 

Step 5: Enter the Reason for Change

 

 

Step 6: Attach extension supporting documentation by clicking Choose file and clicking Add. Supporting documentation can be email or letter from University.

 

 

Step 7: Click Submit to send the form for approval
