Substitution
Steps to assign substitute for leave and staff movement processes:
1. Click Manage Substitution Rules on Employee Self-Service

2. Click Create Rule
The “Manage Substitution Rules” screen is divided into two sections:
a) My Substitution Rules for Workflow Items- You can view your substitutes, delete and turn on/off the activation rule in this section. Check the “status” column to ensure that a rule is active (ongoing).
b) Other Users’ Substitution Rules- You can view other users’ substitution rules involving you in this section.

- Click on the icon
on the Assignee field to search for the user

Select the user from the search result and click Ok

- Choose the tasks you want to delegate from the drop-down options. Choose Leave to delegate leave approval duties or Staff Movement Processes for staff change requests initiation or All for both

- Select Receive My Tasks
Note: The “Fill In for Me” option does not create an active substitution, hence should not be selected.

- Choose when you want the rule to be activated

- Specify when you want the rule to be deactivated and click OK

Note: You can manage the activation and deactivation of rules from “Manage Substitution Rules” screen in the “My Substitution Rules for Workflow Items” section.
